Hello and Welcome, Merchants! We would like to invite you to the SDCW-ATC Dancing the Flame - May Day 2010 Festival. We hope you will join us as a merchant. This packet contains a registration form for May Day 2010, merchant guidelines, and our contact information. The May Day 2010 Festival is sponsored by the Southern Delta Church of Wicca-ATC.
Guidelines for Merchants: Please read the following guidelines carefully and comply with them. Thank you!
General:
If you are vending for profit, we appreciate your giving us a brief description of what you will be selling on your registration form. This information will assist us in helping to advertise your wares at the event. If you are a non-profit organization interested in educating people about your group or cause, please note this fact on the registration form as well. It is the SDCW-ATC‘s policy not to allow the selling of goods or services which are illegal, or which promote the harming of persons or animals. No sale of blades or weapons of any sort is allowed by the park. We expect everyone to behave in an adult and respectful manner at May Day 2010. If you become involved in a situation with another vendor or participant that makes you uncomfortable, please see a member of the event staff for assistance.
Deadline and Fees:
The fee for merchant registration is one itemed donated to the silent auction plus $50.00 per 10X20 slot which includes the fee charged by the park, and standard registration fees if registered by March 15, 2010, or 75.00 per slot if you register by April 15, 2010. You may add one other adult to your registration for an additional $35.00, anyone else shall be required to pay the regular registration fee. All merchants must be registered by April 15, 2010! You may rent up to three side by side slots. The fee is an additional $20.00 per slot. All merchants must provide their own tables, chairs, tents, tarps, or other means of display. Booth Locations:
The location of your booth at the event will be determined by the event staff. There are no guarantees you will be in the same spot as previous years but will try to accommodate the same general area. We will not guarantee that you can be placed by another person. If you have any special requests, please specify them on the registration form and we will do our best to accommodate them if possible. Upon arrival at the park, you will be given direction to your booth space. All booths must be located on the grass in front of the merchants parking area only. This is a regulation and is not optional for anyone. Please be sure that your booth or shelter is suitable for setup on the grass. You are responsible for providing your own shelter.
Setup and Parking:
Merchants may begin setting up at 3 p.m. on Friday May 7, 2010. You may drive your vehicle to your setup area, directly in front of your space, and unload from your vehicle. There are no exceptions to the time rule, so please plan your arrival time accordingly. During unloading, a lane for thru traffic must be left open at all times. Please keep this plan in mind and follow any instructions for vehicle movement or rearrangement from event staff. Teardown must be completed along with clean up by 11:00 a.m. Sunday, May 9, 2010.
Security:
Neither Meeman Shelby Park nor the Southern Delta Church of Wicca-ATC is responsible for the security of your merchandise, or equipment. Please keep this in mind when planning your weekend.
Taxes and Local or State Fees:
Please note that you are responsible for collecting all fees for goods or services and applicable taxes. The Southern Delta Church of Wicca-ATC bears no responsibility for your services, wares or accounting.
Daily Hours:
The Dancing the Flame - May Day 2010 Festival will run from 4 p.m. Friday until 12:00 pm Sunday.
Food and Drink:
Meals will be served and coffee and tea will be available. We recommend that you bring plenty of water and snacks.
Power and Water:
There is no water or electrical hookups available at Piersol Group Camp.
